What a good estimate includes
- Your business details, including a license number if your trade requires one.
- The customer and the job site, which may be different addresses.
- An estimate number and date, so you can match it to the invoice later.
- Labor, materials and fees on separate lines. Customers trust a breakdown more than a single figure, and it shows where the money goes.
- A valid-until date. Thirty days is typical; shorter if your material prices move quickly.
- Scope and exclusions. What’s included, what isn’t, and how extra work will be priced.
- Deposit and payment terms. How much is due on acceptance and when the balance is due.
How to price the lines
Labor: estimated hours × your hourly rate, or a fixed price for the task. If the hours are uncertain, say so and give a range in the description. Materials: your cost plus your markup; many trades mark up materials 10–30% to cover ordering, pickup and waste. Fees: permits, disposal, equipment rental and travel each get their own line, so nothing looks hidden.
If the customer hasn’t chosen something yet, such as fixtures or tile, put in an allowance: a stated amount, with a note that the price will be adjusted to what they pick.
Estimate or quote?
An estimate is an approximate price that can change if the job turns out differently. A quote is a fixed price for defined work. If you’ll stand by the price, use the quote template instead. When the job is finished, open the estimate in the generator and switch it to Invoice: the lines carry over.
Frequently asked questions
Is an estimate binding?
Generally not: it is an approximate price. Some states limit how far a final bill can exceed a written estimate in certain trades, such as auto repair, without the customer’s approval, so get approval before going over.
How long should an estimate be valid?
Thirty days is most common. Use 14 days or less when material prices change quickly.
Can I turn this estimate into an invoice?
Yes. Open it in the free estimate maker, and when the work is done switch the document to Invoice above the preview and download it.
Should the estimate include sales tax?
If the job will be taxed, show tax on the estimate so the total isn’t a surprise. Which parts are taxable depends on your state and trade.
