What to include in a quote

  • A quote number and date, so the client can accept “Quote Q-0007” and you can match it to the invoice.
  • Each product or service on its own line with its price. Put optional extras on separate lines so the client can say yes to the core job.
  • Tax shown separately, and the total.
  • Valid-until date: the last day the price stands.
  • What’s included and what isn’t: revisions, delivery, installation, travel.
  • Payment terms and deposit.
  • How to accept: a signature, a reply or a purchase order. The PDF has a signature box for the client.

After the client accepts

Keep the signed quote, the acceptance email or the purchase order with your records. When it’s time to bill, open the quote in the generator and switch it to Invoice: the lines carry over, and you add an invoice number and due date. Billsato Pro does this in one click and tracks which quotes were accepted.

Frequently asked questions

Is a quote legally binding?

A quote is an offer. When the client accepts it, it usually becomes an agreement at that price for the work described. Agree any changes in writing before doing extra work.

What’s the difference between a quote and a quotation?

Nothing: “quotation” is the longer word for the same document.

How do I number quotes?

Give quotes their own sequence, such as Q-0001, Q-0002, separate from your invoice numbers.

Can the client sign the quote?

Yes. The PDF has two signature boxes, one for you and one for the client.
