What to put on a design invoice
- The project name and any PO number the client gave you.
- Each deliverable with its fee, named as in your proposal.
- Revisions: how many were included and what extra rounds cost.
- Licensed assets such as fonts, stock photos and mockups, at cost or with a markup.
- Usage rights: what the client can use the work for, and when the rights transfer.
- Deposit already paid, and the due date.
Usage rights and getting paid
Stating that rights transfer on full payment gives clients a reason to pay on time and protects you if they don’t. If the client’s rights are limited (for example, a license for one campaign), say so plainly. Many designers take 50% up front and invoice the rest on delivery. For pricing a project first, use the graphic design quote template.
Frequently asked questions
Should designers charge hourly or per project?
Per project is most common for defined work like logos and brand guides; hourly suits ongoing or unclear work. Many designers quote per project and bill extra revisions hourly.
Do I charge sales tax on design work?
It depends on the state and on what you deliver. Some states tax digital products or design delivered as physical goods; many don’t tax design services.
Should I send source files before payment?
Usually not. Send previews or watermarked proofs, and release final and source files once the invoice is paid.
