Invoicing families for childcare
List each day with the hours worked, and show any higher rate (late nights, holidays, extra children) on its own line. Reimbursed expenses go at cost with receipts. Weekly invoices match how most families budget.
A note on status: in the US, a nanny who works regularly in a family’s home is usually the family’s household employee, not an independent contractor, and the family may owe payroll taxes once wages pass the annual threshold. An invoice doesn’t change that. Occasional babysitters are usually treated differently. For daycare centers and home daycares, use the childcare invoice template.
Frequently asked questions
How do I bill for partial hours?
Use decimals: 4 hours 30 minutes is 4.5. Agree whether you round to the quarter hour.
Should I charge more for more children?
Many sitters add a few dollars per hour per extra child. Show it in your rate or as a separate line.
Can families use this for tax records?
Yes. Include your name, address and, if you provide it, your tax ID, which families need to claim the child and dependent care credit.
