How to invoice for hours worked
- One line per day or task, with the date and what you did.
- Hours as decimals: 7 hours 30 minutes is 7.5, 15 minutes is 0.25.
- Your rate, and overtime or after-hours rates on separate lines.
- The billing period the invoice covers.
- Expenses you pass on, such as mileage, without markup unless agreed.
Keep a timesheet and attach it, or offer it on request. Clients pay hourly invoices faster when they can see the hours match what they expected. For fixed-price work, use the service invoice template.
Frequently asked questions
How do I convert minutes to hours?
Divide the minutes by 60: 15 minutes is 0.25, 20 minutes is 0.33, 45 minutes is 0.75.
Should I round time up?
Many professionals bill in 6- or 15-minute increments. Say which in your agreement and apply it consistently.
How often should I send hourly invoices?
Weekly, every two weeks or monthly. Shorter periods keep amounts small and easy to check.
