What to include on a consulting invoice
- The client’s PO number and project name. Many accounts payable teams reject invoices without them.
- The period the invoice covers.
- How you bill: hours × rate, day rate, fixed fee or retainer, and any hours beyond it.
- A short description of the work per line, enough for the client to approve it.
- Expenses at cost with receipts, or marked up if your contract allows.
- Payment terms and bank details.
Retainers and timesheets
For retainers, invoice at the start of each month for the retained hours, and bill any overage at the end. For hourly work, attach a timesheet or summarize the hours by task. It speeds up approval and answers questions before they’re asked.
Frequently asked questions
Should I invoice consulting monthly?
For ongoing work, yes, on the same day each month. For projects, invoice at the milestones in your statement of work.
How do I bill expenses?
As separate lines, at cost with receipts, unless your contract allows a markup or a per diem.
