What to put on a tutoring invoice
- The student’s name, and the parent or guardian paying.
- Each session with its date, subject and length, or the month covered.
- Your rate, and package prices if you sell blocks of sessions.
- Materials and test fees.
- Cancellation policy and any fee charged.
Packages and prepayment
Selling sessions in packages, for example 10 sessions paid up front at a lower rate, smooths your income and cuts down on cancellations. Invoice the package when it’s bought and show the sessions remaining on later invoices. Some parents can pay from education or dependent-care accounts; ask them what details their plan needs.
Frequently asked questions
Should tutors invoice per session or monthly?
Monthly invoices listing every session are the most common for regular students; one-off sessions are paid at booking.
Do tutors charge sales tax?
Tutoring is generally not taxed in the US, though rules vary by state.
How do I handle no-shows?
Charge per your written policy, often the full session fee for no-shows and half for late cancellations, and list it on the invoice.
