What to include on a painting invoice
- Which rooms or surfaces were painted, so there’s no dispute about scope.
- Prep work: patching, sanding, caulking, pressure washing for exteriors.
- Coats applied, and primer where used.
- Paint products and colors with brand, color name and sheen.
- Materials by the gallon, or included in the price; say which.
Lead-safe work on older homes
In the US, painting or prep that disturbs paint in homes built before 1978 falls under the EPA’s Renovation, Repair and Painting (RRP) rule: the firm must be EPA-certified and follow lead-safe practices. If the rule applies, note your RRP certification number and the lead-safe setup on the invoice, and bill containment and cleanup as their own line.
Frequently asked questions
Should painters charge by the room or the hour?
Most residential painters quote by the room or by square footage, so the customer knows the price up front, and use hourly rates only for small repairs.
Do I list paint separately?
It’s clearer to. Customers like to see the product they paid for, and it makes touch-ups easier later.
