What a rent invoice should include

  • The property and unit, and the tenant’s name as on the lease.
  • The rental period the payment covers.
  • Rent and each other charge the lease allows, on separate lines.
  • The due date and accepted payment methods.
  • Late fees, only as the lease and your local law allow.

Many US states and cities limit late fees, set grace periods, or require landlords to give receipts for cash rent. Check your local rules. When rent is paid, the receipt template gives the tenant proof of payment.

Frequently asked questions

Do landlords need to send rent invoices?

Not usually, since the lease sets the rent. Invoices help when charges vary, for commercial tenants, and for tenants who need them for their records or employer.

Can I add utilities to the rent invoice?

Yes, if the lease makes the tenant responsible. Show each utility on its own line with the period or meter reading.

Is rent subject to sales tax?

Residential rent generally isn’t; some states tax commercial rent or short stays. Check your state’s rules.
