What a receipt should include
- Your business name and contact details, and your tax ID where one is required.
- A receipt number and the date of payment.
- What was paid for: items or services, quantities and prices.
- Tax, shown separately.
- The amount paid and how: cash, card (last four digits only) or bank transfer.
- The balance, which should be zero for a receipt in full.
Receipt or paid invoice?
An invoice asks for payment; a receipt confirms it. If you already sent an invoice, you can mark it paid and send it again as the receipt, quoting the invoice number. If the customer paid on the spot, issue a receipt directly. Keep a copy of every receipt for your records. For partial payments, show the amount received and the balance still owed.
This template is for receipts your own business issues. Creating receipts for purchases that didn’t happen, or in another business’s name, is fraud.
Frequently asked questions
Is a receipt the same as an invoice?
No. An invoice requests payment; a receipt proves it was made. The free generator makes both: this template is an invoice titled Receipt and marked paid in full.
Should I put the full card number on a receipt?
No. Show only the card type and last four digits.
Can I give a receipt for a partial payment?
Yes. Show the total, the amount received, and the balance remaining.
