What a moving estimate should include

  • Origin, destination and move date.
  • The inventory the estimate is based on, ideally from a walk-through or video survey.
  • How it’s priced: hourly for local moves, by weight or volume for long distance.
  • Crew size, truck, and travel time.
  • Extras: packing, materials, stairs, long carries, heavy items such as pianos and safes, storage.
  • Valuation coverage and whether the estimate is binding.

Binding and non-binding estimates

For interstate moves in the US, federal rules (FMCSA) give movers two choices. A binding estimate is a guaranteed price for the listed items and services. With a non-binding estimate, the final price follows actual weight or time, but the mover can’t demand more than 110% of the estimate at delivery; the rest is billed later. Interstate movers must also give customers the “Your Rights and Responsibilities When You Move” information. Local moves follow state rules, which vary.

Valuation coverage

Movers must offer liability coverage for the customer’s belongings. Basic coverage, often called released value, pays only about 60 cents per pound per item, so a 10 lb laptop is covered for $6. Full value protection costs more. Put the option the customer chose on the estimate, in writing.

Frequently asked questions

Is a moving estimate binding?

Only if it says so. A binding estimate is a fixed price for the listed items; a non-binding one changes with actual weight or hours.

Should travel time be charged?

Most local movers charge for travel time, either as a flat fee or by the hour. State it on the estimate so it isn’t a surprise.

How do I estimate a move I can’t see?

Ask for a video walk-through or a room-by-room inventory, and base the estimate on it. Note that items not listed will change the price.
