Quoting HVAC replacements
Give a fixed installed price for the recommended system and list upgrades as options in the notes, or offer good, better and best systems with three totals. Name the model numbers, capacity and efficiency ratings; homeowners compare quotes by them, and rebate programs ask for them. Say what the price includes: removal, line set, pad, electrical, permit, startup. Base sizing on a load calculation, and say so.
For repairs and diagnostics, use the HVAC estimate template.
From accepted quote to invoice
A quote is a fixed offer: once the client accepts it in writing, by signing it or replying to say yes, both sides are bound by its price and scope. Keep the accepted copy. When the work is done, open the quote in the free quote maker and switch it to Invoice, or start from the HVAC invoice template. Anything the client added later goes on its own line.
Frequently asked questions
Should I offer more than one option?
Yes. Two or three options let the customer choose a budget instead of shopping your single price.
How long is an HVAC quote valid?
30 days is typical; equipment prices change several times a year.
Should financing be on the quote?
If you offer it, add a note with the monthly payment example and the lender’s terms.
