What a sales quote should include

  • Product names, SKUs or part numbers, so the buyer can match them to their request.
  • Quantities and unit prices, and any volume or price-break discounts.
  • Shipping: cost, method and who owns the goods in transit (for example FOB origin).
  • Lead time or delivery date.
  • Taxes: whether prices include them. Business buyers may give you a resale exemption certificate.
  • Validity and payment terms.

Business buyers often reply with a purchase order. Put their PO number on the invoice. For international buyers, use the proforma invoice template instead.

From accepted quote to invoice

A quote is a fixed offer: once the client accepts it in writing, by signing it or replying to say yes, both sides are bound by its price and scope. Keep the accepted copy. When the work is done, open the quote in the free quote maker and switch it to Invoice, or start from the PDF invoice template. Anything the client added later goes on its own line.

Frequently asked questions

What’s the difference between a quote and a proforma invoice?

Both state a price before the sale. A proforma looks like an invoice and is often used for international payments and customs; a quote is an offer for the buyer to accept.

How long should a sales quote be valid?

30 days is common; shorter if your costs change quickly.

Should I include shipping in the price?

Show it as its own line, or say the prices include delivery. Either way, state the shipping terms.
