Scope, milestones and change requests
- A written specification the price is based on, attached or referenced.
- Milestones with deliverables and payments.
- Fixed price or time and materials: fixed for a clear spec; hourly with an estimate for discovery-heavy work.
- Change requests: how new features are quoted and approved.
- Ownership and licensing of the code, and any third-party components.
- Support, hosting and warranty after launch, as ongoing lines the client can decline.
From accepted quote to invoice
A quote is a fixed offer: once the client accepts it in writing, by signing it or replying to say yes, both sides are bound by its price and scope. Keep the accepted copy. When the work is done, open the quote in the free quote maker and switch it to Invoice, or start from the consulting invoice template. Anything the client added later goes on its own line.
Frequently asked questions
Fixed price or hourly for software?
Fixed price for a well-defined specification; hourly or sprint-based for evolving products. Many teams fix the price of discovery and quote development after it.
How do I handle scope creep?
Require written change requests, each with its own price and timeline, before doing the work.
Should support be in the same quote?
Offer it as an optional monthly line, so the client sees the full cost of running the software.
