Quoting freight
State the lane, pickup and delivery dates, equipment, and the commodity, weight and pallet count. Separate linehaul, fuel surcharge and accessorials. Freight quotes move fast, so keep validity short. Brokers should say the shipment moves under a carrier’s authority. Bill loads with the trucking invoice template.
From accepted quote to invoice
A quote is a fixed offer: once the client accepts it in writing, by signing it or replying to say yes, both sides are bound by its price and scope. Keep the accepted copy. When the work is done, open the quote in the free quote maker and switch it to Invoice, or start from the trucking invoice template. Anything the client added later goes on its own line.
Frequently asked questions
Why is the fuel surcharge separate?
It moves with diesel prices; listing it keeps the base rate stable.
What are accessorials?
Extra services or delays: liftgate, inside delivery, detention, layover.
How long is a freight quote valid?
Often days, not weeks.
