Is There Really a Free Invoicing App? The Catches to Check Before You Sign Up

Yes, free invoicing apps exist, but "free" rarely means free of every cost. Most free plans make money in one of four ways: a fee when your customer pays, a cap on invoices or clients, branding on your invoices, or an upgrade you will eventually need. None of that is a scam. You just need to know which catch you are signing up for.
We checked the pricing pages of the best-known invoicing tools in October 2026. Here is what each one actually gives you free, what it costs when you get paid, and how to choose.
Disclosure: we make Billsato, one of the tools on this list. We have described it as plainly as the others, including what you pay for.
The four ways "free" invoicing apps make money
- Payment fees. Creating and sending invoices is free, but when your customer pays by card through the app, you pay a percentage. This is how Wave, Square, PayPal and Stripe make money from invoicing.
- Limits. The free plan caps how many invoices, clients or users you can have. When you outgrow it, you move to a paid plan.
- Branding. Your invoices or emails carry the app's name or logo.
- Upgrades. Invoicing is free; accounting, payroll, reminders, recurring invoices or saving your data cost money.

What "free" costs on a $1,000 invoice
Payment fees are the catch most people underestimate, because they are small per invoice and large over a year. Here is what a client paying a $1,000 invoice by card costs you on each free plan:
| Paid by card through | Fee | You receive |
|---|---|---|
| Wave (Starter) | $29.60 | $970.40 |
| PayPal (card) | $30.39 | $969.61 |
| Square (Free plan) | $33.30 | $966.70 |
| Stripe Invoicing (Starter) | $33.30 | $966.70 |
| PayPal (PayPal checkout) | $35.39 | $964.61 |
| Direct bank transfer | Usually $0 for a domestic transfer | About $1,000 |
Invoice $5,000 a month by card and you are paying roughly $1,800–2,200 a year in fees. That is often fine: card payments get you paid faster, and customers like them. But it is a cost, and it is worth comparing with a paid plan that charges less per payment or with asking larger clients to pay by bank transfer.
Seven questions to ask before you sign up
- How many invoices and clients can I have for free? Read the limits, not just the headline.
- What does it cost when a customer pays? Look for card, bank and international rates.
- Can I accept payment outside the app? Some tools let you add your own bank details; others push you towards their payments.
- Will my invoices show someone else's branding?
- Which features are paid? Reminders, recurring invoices, multiple users and removing branding are common upgrades.
- Can I export my data? If you leave, you should be able to take your invoices and client list with you as PDF or CSV.
- Do I need an account at all? If you send a few invoices a month, a generator with no sign-up may be all you need.
Which kind of free tool fits you?
- A few invoices a month, paid by bank transfer: an invoice generator is enough. Billsato makes the PDF in your browser with no account, and you keep the copies.
- You want customers to pay by card from the invoice: a payments-based free plan (Wave, Square, PayPal, Stripe) makes sense. Compare the fees above against your typical invoice size.
- You need bookkeeping as well: Wave's free plan, or a paid accounting tool once you have an accountant who prefers one.
- You invoice the same clients every month and want it saved: look at the cost of a small paid plan. A few dollars a month can be cheaper than per-payment fees, and you get numbering, client lists and payment tracking. Billsato Pro is $10/month after a 7-day free trial, with no card needed for the trial.
What a free invoice should still include
Whatever tool you use, the invoice itself must be complete: a unique number, your details and your customer's, a list of what you supplied, the tax, the total, the due date and how to pay. Frequently asked questions
Is there a completely free invoicing app?
There are free tools with no monthly fee, but most charge in another way: payment fees when customers pay by card, limits on invoices or clients, or branding on your invoices. An invoice generator such as Billsato is free to use with no account, but it does not save your invoices for you.
Which free invoicing app has the lowest fees?
On a $1,000 card payment, Wave's free plan cost $29.60 and PayPal by card $30.39 in October 2026, while Square and Stripe Invoicing came to $33.30. A direct bank transfer usually costs nothing domestically.
Can I send invoices for free without an account?
Yes. Billsato and Invoice-Generator.com both let you create and download an invoice PDF without signing up. You then email the PDF yourself and keep your own copy.
Is PayPal invoicing free?
Sending a PayPal invoice is free. When your customer pays it, PayPal charges a fee: in the US, 3.49% + $0.49 through PayPal checkout or 2.99% + $0.49 by card, with an extra 1.5% for international payments.
When is a paid invoicing plan worth it?
When you invoice the same clients regularly and want invoices, clients and payments saved in one place, or when per-payment fees add up to more than a monthly plan would cost.
